What information do we collect about you?
We collect information about you when you first contact us and store the details you provide us with on our database. The data we will store (if it is provided) includes your name, email address, phone number, job title, company name and company details including address. This data is used to deliver our services as a charity and membership organisation.
How do we use your information?
Upon being contacted by you, we will store your details on our database in order to respond to your query. Depending on the outcomes of subsequent discussion, we will identify you as a potential partner or member company. If you do not proceed to join us, we will keep your data for a maximum of five years before deletion. We may contact you in this time to encourage you to join, but you can opt-out of being contacted by emailing firstname.lastname@example.org
or clicking through the unsubscribe option in any email you receive.
Your data will be held on our database to enable us to deliver our services. If you subscribe to our mailing list or if you are a member, your data (name/company/email) will be stored on Mailchimp
to enable us to provide the services you have subscribed to. You can view our Agreement and Data Processing Addendum with MailChimp here.
Heart of the City is hosted by the City of London Corporation
and use their in-house finance department for invoicing and transactions as well as their IT systems and services. We will share specific data with them in order to fulfil our services. The City of London Corporation are bound by the GDPR and will not share your data. You can view their full data protection policy here.
Heart of the City will never share your information with any other third parties, unless we have received explicit consent from you to do so.
If you are a member, Heart of the City will store and update your information for the duration of your membership. Upon cancellation, we will keep your data for a maximum of five years from that date before making it inactive.

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and compile statistical reports on website activity. Heart of the City uses Google Analytics to monitor this data.

Transmission and transfer of data outside of the EU
Heart of the City uses a Salesforce
database to store data and this data is transferred outside of the European Economic Area. Under Chapter V, Article 46 of the GDPR
, Salesforce have provided adequate safeguards through their data processing addendum, binding corporate rules, privacy shield certification and European model clauses, which enables these transfers to occur securely and in line with the General Data Protection Regulations.
Heart of the City use Mailchimp for communications, whose servers are located in the USA. Under Chapter V, Article 46 of the GDPR
